Position Summary
This role is responsible for developing and enhancing clinical scheduling strategies, while looking for opportunities to improve the process operationally and technologically. Manages projects such as new location launch, changes to call and late work compensation, and innovate reporting. This role supports the continuous improvement of scheduling platform capabilities and associated initiatives to gather, prepare and analyze data for review by department leadership. This role maps the development of clinical scheduling processes along with identifying opportunities for improvement.
Job Responsibilities
- Build and maintain infrastructure for policy development and admin training. Develops, creates and maintains documentation and system development tracking for rules, responsibilities, terms and programming for all site(s) customizations.
- Manages Clinical Scheduling and shift compensation processes for faculty and GME trainees, including subspecialty, calls, vacations, etc.
- Leading meetings to drive improvement enhancements, including compensation, and clinical rotations. Meets directly with division leaders, collecting user requirements and develop protocols which define the needs of each service line.
- Manages scheduling requests and leave status administration at the local level, collaborating with NYP Nursing colleagues, EPIC Pain Clinic Schedulers, GME program administration and network campuses as required.
- Manages user creation processes in QGenda, ensuring accurate employee/clinician access and profile maintenance, as well as administrative structures for the team of leadership users.
- Researches industry best practices, benchmarks and tools to incorporate and implement improved practices.
- Collaborates with key stakeholders to identify business challenges and use data analysis to help influence changes to operations, processes or programs.
- Responsible for developing Epic workflows and processes to support OR scheduling needs and support the needs of the department.
- Acts as liaison to vendor, managing program enhancements, customization and quarterly user billing. Understands in detail the roles responsibilities of clinical staff, to design, implement and test updates.
- Provides regular communication updates regarding scheduling updates to the departmental faculty, staff, leadership as appropriate.
- Directly manages a systems specialist, assigns work, performs appraisals, hires, onboards and trains. Provides direction and training to expanded team across divisions to ensure consistent procedures are followed.
- Manages day-to-day scheduling questions through scheduling team and sets escalation matrices for complex scenarios, provides input to annual plan design to represent campus and subspecialty needs and keeps up to date on changing scheduling information.
- Responsible for scheduling system data management. Develops techniques for compiling, preparing and presenting data. Provides leading trend information and scorecard data trends call frequencies, vacation and PPD usage, and academic time allowances.
- Supports the annual faculty performance management cycle, collating, validating and presenting information as needed regarding clinical worked time and academic time.
- Supports all scheduling system integrations, including but not limited to, EMR, timekeeping, etc.
Education
- Bachelor's Degree
Experience
Five years experience in clinical scheduling data systems management. College degree can serve toward experience.

- Demonstrated strong analytical skills
- Clear business writing skills.
- Advanced communication and interpersonal skills to develop and maintain cooperative and productive working relationships with all levels of faculty and staff.
